Quick answer
New Hampshire Document Shredding serves Pelham businesses from our office at 1215 Main Street, Unit 115, Tewksbury, MA, about 11 miles down Route 38. A Pelham pickup is Zone 1, so it adds a $129.95 transportation fee to the normal rates of 99 cents a pound, or $15 per small and $20 per large box once you have 10 or more, plus $34.90 in per-job fees. Twenty banker’s boxes picked up come to $564.85 all in, or $434.90 if you drive them down yourself, and every job gets a Certificate of Destruction. That is the same document shredding we run for every New Hampshire customer, with Pelham’s short drive working in your favor.
The Pelham businesses this page is for
This page is written for small Pelham businesses, the kind that often run out of a home office, a garage or a truck rather than a suite with a receptionist. That changes how shredding works. There is no records room and no office manager with a budget line. There is a closet, a few file boxes in the basement and a feeling that some of that paper should not be lying around.
If you are clearing a household instead, our page on Pelham NH home shredding fits better. The complete town overview, with every option for Pelham homes and businesses, is on our shredding service in Pelham NH page. This one stays on the business side.
Contractors and trades
Builders, electricians, plumbers, HVAC, roofers, painters and site work crews. Bids, signed contracts, subcontractor tax forms, payroll and years of job folders.
Home-based businesses
Bookkeepers, consultants, insurance agents and online sellers working from a spare room. Client files and tax paperwork that outgrow the filing cabinet.
Shops along Bridge Street
Retail and service businesses on Route 38. Old receipts, vendor invoices, employee files and printed card batch reports.
Small professional offices
Real estate, accounting, therapy and health offices. Client and patient files with names, numbers and history on every page.
All of them have one thing in common. The paper is spread out and nobody has time to haul it. That is exactly what a Zone 1 pickup is for, and Pelham is one of the border towns where the pickup fee is at its lowest.
How Zone 1 pickup works for a Pelham business
Our pickup pricing runs in three zones. Zone 1 covers the Tewksbury area and the New Hampshire border towns, and Pelham is named in it along with Salem, Windham and Plaistow. The Zone 1 transportation fee is $129.95 per pickup. Greater Nashua and Manchester are Zone 2 at $159.95, and the Seacoast is Zone 3 at $199.95. We still confirm the zone for your exact address when you book.
- Book online or call. Use the booking form or call (978) 636-0301 with your Pelham address, a rough count of boxes or bags, and anything that is not paper. Pickup always needs an appointment, and we do not promise a visit on the day you call.
- Tell us how the driver gets in. The price assumes ground-level or elevator access. A garage, a front door or a shop’s back door at grade is standard. A finished basement or a second-floor office over a shop carries a handling fee, and we quote it up front.
- Stage the boxes. Close them and stack them by the door or in the open garage bay. Leave staples, paper clips, binder clips and rubber bands in. Pull out three-ring binder hardware, the metal frames from hanging folders and anything that is not paper.
- We load and drive them to Tewksbury. Your boxes go into our vehicle and back down Route 38 to our office, in locked handling the whole way. They are shredded after they arrive.
- File the certificate. A Certificate of Destruction comes with every job. Keep it with your business records. If anyone ever asks what happened to a client’s file, you have a dated answer.
Contractors often ask whether they need to be home. Someone does need to hand the boxes over, so pick a day you or a family member will be there. Many Pelham owners pick a rain day or the morning before a job starts. The pickup itself takes minutes once the boxes are staged. Before the day, run through our shredding pickup checklist, and read the full process on our off-site shredding page.
What Pelham NH business shredding costs on a Zone 1 pickup
A small business rarely thinks in pounds. It thinks in boxes, so that is how we price it out here. A standard banker’s box full of paper weighs about 30 pounds. Under 10 boxes we charge by weight at 99 cents a pound. At 10 or more boxes the flat rate applies, $15 per small box and $20 per large banker’s box, no matter how dense the files are. Every job carries a $14.95 HIPAA filing fee and a $19.95 environmental fee, $34.90 in total.
| Boxes | Shredding | Per-job fees | Zone 1 fee | Pickup total | Drop-off total |
|---|---|---|---|---|---|
| 1 box (about 30 lb) | $29.70 | $34.90 | $129.95 | $194.55 | $64.60 |
| 5 boxes (about 150 lb) | $148.50 | $34.90 | $129.95 | $313.35 | $183.40 |
| 10 large boxes | $200.00 | $34.90 | $129.95 | $364.85 | $234.90 |
| 20 large boxes | $400.00 | $34.90 | $129.95 | $564.85 | $434.90 |
| 40 large boxes | $800.00 | $34.90 | $129.95 | $964.85 | $834.90 |
The totals tell you what you will pay. The cost per box tells you whether the pickup is worth it. Divide each total by the number of boxes and the pattern jumps out.
At five boxes, a pickup works out to about $62.67 a box, against about $36.68 if you drive. At forty boxes the two numbers nearly meet, about $24.12 a box picked up and about $20.87 dropped off. The fixed fees get spread thinner the more you send, and the Zone 1 fee is the biggest fixed fee there is.
Counter tip: if you are sitting at eight or nine boxes, fill a tenth. Nine boxes by weight cost about $267.30 before fees. Ten large boxes at the flat rate are $200. You save about $67 and clear one more box out of the garage.
For the full price list, including witnessed sessions and media, see our shredding rates page. Nothing on it changes because you are in Pelham. The only Pelham number is the $129.95 Zone 1 fee, and you only pay it when we come to you.
Pelham NH business shredding for contractors and trades
A contractor’s paperwork is more sensitive than most people think. A single job folder can hold the homeowner’s name, address, phone number, signature and sometimes a copy of a check with their bank routing and account numbers on it. Multiply that by every job you have done since you went out on your own.
Then there is the paper about your own crew and subs. W-9s carry taxpayer ID numbers, which for a one-person sub is often a Social Security number. Copies of 1099s carry the same. Payroll registers, I-9s and the copies of IDs stapled to them are some of the most useful papers an identity thief could find in a recycling bin.
Before any of it goes, check how long you must keep it. These are the federal periods that come up most for a small contractor. A lender, an insurer, a warranty you offer or a contract can require longer. When two rules disagree, keep the paper for the longer one.
| Contractor record | Keep it for | Rule |
|---|---|---|
| Income, expense and job cost records behind a tax return | 3 years in most cases | IRS, How long should I keep records |
| Records where unreported income was over 25 percent of reported gross income | 6 years | IRS |
| Payroll and other employment tax records | At least 4 years after the tax is due or paid, whichever is later | IRS |
| Records for trucks, tools and equipment you own | Until the limitations period runs out for the year you dispose of the property | IRS |
| Form I-9 for a former employee | 3 years after hire or 1 year after employment ends, whichever is later | USCIS Handbook for Employers M-274 |
One federal rule speaks directly to disposal. If your business uses consumer reports, such as background checks on new hires or credit checks on customers who finance a job, the FTC’s Disposal Rule at 16 CFR Part 682 requires reasonable measures to dispose of them, such as burning, pulverizing or shredding the paper so it cannot be read or reconstructed. The FTC names employers among the businesses it covers. Our page on FACTA compliance in New Hampshire explains it in plain terms.
If your business ever has computerized personal data exposed, New Hampshire’s breach notice statute, RSA 359-C:20, sets out who you must notify. An old office laptop or the hard drive from a dead desktop is just as risky as a filing box. Bag media separately and we quote it per item. See our hard drive destruction page.
Numbers a Pelham business owner should know
These four numbers decide almost every Pelham business job we book. Keep them in mind when you count boxes.
- Cross-cut shredding at our Tewksbury office, never at your curb
- Locked handling and a documented chain of custody from your door to the shredder
- A Certificate of Destruction on every job, at no charge beyond the HIPAA filing fee
- A Business Associate Agreement on request for health offices covered by HIPAA
- All of the shredded paper baled and recycled
- No contract. Book one pickup, or one every spring
Why the Pelham transfer station is not the answer for business paper
A lot of Pelham owners do their dump run on Saturday and wonder whether the old files could just go in the paper bin. The town’s rules answer that for you. The Recycling Center and Transfer Station at 74 Newcomb Field Parkway is open Wednesday through Saturday, 8:30 a.m. to 4:25 p.m., and use of the facility is limited to Pelham residents.
The written rules go further. Commercial haulers are prohibited. Only waste generated within Pelham is accepted. And industrial or commercial waste, which the rules describe as a by-product of an industrial or commercial business, is not accepted. Mixed paper is one of the recyclables residents must separate, so it is a household stream, not a business one.
Even where paper is allowed, recycling is not destruction. A bale of mixed paper keeps every page readable until a mill pulps it, and nobody gives you a certificate saying which pages went where. For client and employee records, you want the paper cross-cut before it leaves anyone’s hands and a dated certificate in your file.
So the transfer station stays for what it was built for, the household trash and recycling. Business records go through a shredder. For a Pelham business that means one of two short trips: ours to your door on a Zone 1 pickup, or yours down Route 38 to our counter.
When a Pelham business should just drive it down
Here is the honest part. Pelham is one of the closest New Hampshire towns to our office, and that cuts both ways. The pickup fee is the lowest we charge, and the drive is the shortest. For a small load, the drive usually wins.
From Pelham Town Hall at 6 Village Green, Bridge Street is Route 38. It runs south through Dracut and Lowell, where it follows Nesmith Street and Rogers Street, and becomes Main Street in Tewksbury. Our building is on that same road. The run is about 11 miles, around 25 minutes without heavy traffic, and you never touch a highway.
The question that decides it is not distance. It is whose time gets spent. A contractor with a truck already heading to a supply house in Lowell can drop five boxes on the way and save $129.95. A bookkeeper in the middle of tax season, or a crew owner on a roof all week, should not lose half a day to save the same amount.
The drop-off counter is open Monday to Friday, 10 a.m. to 5 p.m., with no appointment. We weigh the boxes in front of you, help you unload, and shred the paper that same business day. Read how drop-off shredding works before your first visit. Route 38 through Lowell is the slow part, so leave Pelham after the morning rush and aim to arrive well before closing.
One pickup a year, or a few: a schedule that fits a small business
Most small Pelham businesses do not need a standing route. They need a plan. Paper builds up in predictable waves, and a pickup timed to the waves costs less than one booked in a panic when the closet door will not close.
After tax season
Once this year’s return is filed, the oldest year you no longer need to keep can go. For many small businesses that is the one big purge of the year, and a good time for one Zone 1 pickup.
At job closeout
When a big job wraps and the warranty paperwork is filed, the bid drafts, duplicate copies and scrap printouts can go. Collect them in one locked box until the next run.
When someone leaves
Former employee files follow the I-9 and payroll rules above. Mark the date each file can go and add it to the next purge rather than shredding piecemeal.
A single yearly pickup of 20 boxes costs $564.85. Four quarterly pickups of five boxes cost four times $313.35, which is $1,253.40. The paper is the same. The difference is the fees, paid once or paid four times. That is why we tell most small businesses to store paper in a locked closet and book one well-planned pickup. For more on that choice, read our page on one-time vs scheduled shredding, or our overview of a one-time shredding service.
Between pickups, storage is what keeps the plan safe. Use a closet or cabinet that locks, not the corner of the garage. Seal each box when it is full and write a destroy-after date on the side, not the contents. When the next pickup comes around, the boxes with a date in the past go out the door and the rest stay put. Nobody has to open a box and read it again, which saves time and keeps the information where it belongs.
Write the plan down in a few lines and keep it with your tax papers: what gets shredded, when, and who signs for the pickup. If a client, an insurer or an auditor ever asks how you dispose of records, you hand them that page and a stack of dated certificates. For a one-person business that is about as much policy as you need.
A health or therapy office is the exception. Paper with patient information should not sit around for a year in an open spot. If you are a small Pelham health office, keep it in a locked console and pick a rhythm that keeps the console from overflowing. Ask for a Business Associate Agreement before the first pickup.
Pickup, drop-off or witnessed for your Pelham business
Put your job in the left column and read across. This is the same advice we give on the phone.
| Your situation | Our pick | Why |
|---|---|---|
| 1 to 5 boxes and a free hour on a weekday | Drop-off | About $64.60 for one box, about $183.40 for five. Pickup would add $129.95 |
| 6 to 9 boxes | Drop-off, and round up to 10 | Ten boxes at $20 each cost less than nine boxes by the pound |
| 10 to 20 boxes, nobody free to drive | Zone 1 pickup | $364.85 to $564.85 all in, and you keep working |
| A business closing or moving out of a garage shop | Zone 1 pickup | One job, one set of fees, one certificate |
| Employee or client files someone must see destroyed | Witnessed | $1.99 per pound, $100 minimum, certificate signed in front of you |
| Old laptops, drives, phones | Bag separately | Physically destroyed and quoted per item |
For files that need a witness, book a witnessed shredding session at our office. Five boxes of personnel files, about 150 pounds, come to $298.50 for the shredding and $34.90 in fees, $333.40 in total.
Pelham’s neighbors run the same numbers. Business owners in Salem can read our page on Salem NH business shredding, and those across the line in Hudson have Hudson NH business shredding. Plaistow owners can see Plaistow NH business shredding. Every town we cover is listed by zone on our service areas page.
Frequently asked questions
What pickup zone is Pelham NH in?
Pelham is one of the New Hampshire border towns in our Zone 1. The transportation fee is $129.95 per pickup, the lowest we charge. You also pay the normal shredding rates and the $34.90 per-job fees. We confirm the zone for your exact address when you book, and stairs or restricted access carry a handling fee we quote up front.
How much does a Pelham business pay to shred 10 boxes?
Ten large banker’s boxes are $200 at the $20 box rate, plus $34.90 in per-job fees. A Zone 1 pickup adds $129.95, so the total is $364.85. If you drive the boxes to our Tewksbury office yourself, the total is $234.90. Ten small boxes at $15 each bring both numbers down by $50.
Can my contracting business use the Pelham transfer station for old files?
The town’s rules limit the facility to Pelham residents, prohibit commercial haulers and do not accept commercial waste, described as a by-product of a commercial business. Recycling also leaves paper readable until a mill pulps it. Business files with customer or employee information should be shredded, with a Certificate of Destruction for your records.
Do I have to be there for the pickup?
Someone needs to hand the boxes to the driver, so pick a day you or someone you trust will be at the house, shop or office. Stage the boxes by the door or in the garage before the driver arrives. Pickups are booked by appointment and we never promise a visit on the day you call.
Do you shred at my Pelham shop or house?
No. We do not bring a shredder to your address. A driver loads your boxes, they stay in locked handling, and they are shredded at our office at 1215 Main Street, Unit 115, Tewksbury, MA after they arrive. If you need to see the destruction, book a witnessed session at our office instead.
What contractor paperwork should I shred?
Once retention periods have passed: old bids and contracts with customer details, copies of customer checks, subcontractor W-9s and 1099 copies, payroll registers, former employees’ I-9s and ID copies, and background or credit reports. Check the IRS and USCIS periods first. A lender, insurer or contract may require you to keep some records longer.
Is it cheaper to drive from Pelham than book a pickup?
Usually, for small loads. Pelham Town Hall is about 11 miles from our office straight down Route 38, around 25 minutes without heavy traffic. Driving saves the $129.95 Zone 1 fee. On a big job of 20 or 40 boxes that fee is a small slice of the bill, and a pickup often costs less than a lost workday.
Do I need to take staples out of old job folders?
No. Leave staples, paper clips, binder clips, rubber bands and file folders in. Please take out three-ring binder hardware, the metal frames from hanging folders, plastic sleeves and anything else that is not paper. Hard drives, phones and USB sticks go in a separate bag and are quoted per item.
