A notarized Certificate of Destruction is issued with every medical shredding job, satisfying HIPAA's documentation requirements for covered entities and business associates.
Yes. We shred X-ray films, MRI films, CT scan films, panoramic dental X-rays, retinal imaging, mammography films, and all other medical imaging materials. X-ray films are PHI under HIPAA because they contain patient identifying information. They cannot be recycled as standard paper — they require certified destruction that renders them unreadable and unable to be reconstructed. We handle all formats and sizes.
Yes. Under HIPAA, any vendor that handles PHI on behalf of a covered entity is a Business Associate and requires a Business Associate Agreement (BAA). We execute BAAs with healthcare provider clients as a standard part of our medical shredding service. Our notarized Certificate of Destruction records: the date of destruction, the approximate volume (by weight or box count), the method of destruction, the name of the authorizing party, and the certifying employee. This is the document your compliance officer files as proof of HIPAA-compliant PHI disposal. It is suitable for OCR investigations, Joint Commission audits, and any other accreditation or regulatory review that asks how PHI was destroyed.
Yes. Our drop-off service maintains the same HIPAA compliance standards as our off-site pickup service. From the moment you hand your PHI to our staff member at our Tewksbury facility, it enters our documented chain of custody. Material is shredded the same day, and a notarized Certificate of Destruction is issued before you leave. There is no difference in compliance quality between drop-off and pickup — only a difference in cost and convenience.
Drop-off shredding starts at 99¢ per pound with no minimum. A typical small-practice monthly cleanout of 2–3 boxes (50–90 lbs) costs $50–$89 in shredding plus the flat $34.90 in fees per job. Off-site pickup adds a $99.95 Zone 1 transportation fee. For practices doing quarterly or annual purges, drop-off is significantly more economical. Our complete rate schedule is published online.
New Hampshire RSA 332-I requires that adult patient medical records be retained for at least 7 years from the date of last treatment, and 7 years from the minor patient's 18th birthday (or age 21 for certain records).
