Hudson NH business shredding for offices and medical practices
Hudson NH business shredding, worked out for the people who run the office: what a pickup costs from the industrial parks and Route 111, how the zone is set for your address, and how to plan a records cleanout without losing a week to it. Medical and dental offices get the HIPAA paperwork side too.
Pickup from your Hudson door, shredded at our Tewksbury office. Certificate of Destruction on every job.
- 99¢ per pound
- Since 2007
- BBB A+
- HIPAA BAA on request
Quick answer
New Hampshire Document Shredding picks up business records from Hudson addresses and shreds them at our office at 1215 Main Street, Unit 115, Tewksbury, MA, at 99 cents a pound (or $15 per small and $20 per large box at 10 or more boxes) plus $34.90 in per-job fees. The pickup adds a transportation fee of $129.95 if your address falls in Zone 1 or $159.95 in Zone 2, confirmed when you book, so 20 banker’s boxes come to $564.85 or $594.85 all in. Every job gets a Certificate of Destruction, and covered medical offices can ask for a Business Associate Agreement before the first pickup. It is the same document shredding process we run for every New Hampshire customer.
Three ways a Hudson business gets paper to our shredder
We shred in one building, our office on Route 38 in Tewksbury, Massachusetts. There is no office, kiosk or drop box of ours in Hudson or anywhere else in New Hampshire, and nobody parks a shredder in your lot. For a business, the real choice is who moves the boxes and whether anyone needs to watch.
This page is written for owners, office managers and practice managers. If you are clearing paper out of a house rather than an office, our page on Hudson NH home shredding is the better read, and the full town overview lives on our shredding service in Hudson NH page.
Pickup from your Hudson office
Book a date, stage the boxes, and a driver loads them and brings them back to Tewksbury, where they are shredded after they arrive. Same per-pound or per-box rates as the counter, plus the transportation fee for your zone. The off-site shredding page covers the whole run.
Drop-off at the counter
Someone from the office drives the boxes down, Monday to Friday, 10 a.m. to 5 p.m., no appointment. We weigh them at the counter, charge 99 cents a pound under 10 boxes, and shred the paper that same business day. Good for small, steady volumes.
Witnessed session
Book a time, bring the files, and stand beside the shredder while they go through. It costs $1.99 a pound with a $100 minimum on the shredding charge, plus the $34.90 per-job fees. The certificate is signed in front of you. Practices and HR teams use it for the files they cannot afford to question later.
Most Hudson offices end up using two of the three. A dental office might drive one box down each month and book a pickup when it purges old charts. A contractor in the Clement Road park might book a single pickup a year after taxes are filed. The rates do not change between services. Only the fee for getting the paper to us does.
Which pickup zone a Hudson business address falls in
Our pickup prices run in three zones. Zone 1 covers the Tewksbury area and the New Hampshire border towns such as Salem, Pelham, Windham and Plaistow. Zone 2 covers greater Nashua and Manchester. Zone 3 covers the Seacoast and points farther north. Hudson sits right between the first two, with Pelham on one side and Nashua across the river on the other.
That is why we do not print a single zone for Hudson. We confirm the zone for your exact street address when you book, and the price is set before the driver leaves. If you want a planning number before you call, budget with the Zone 2 fee of $159.95. If your address comes back as Zone 1, the bill drops by $30.
| Pickup zone | Transportation fee | Areas in that band |
|---|---|---|
| Zone 1 | $129.95 per pickup | Tewksbury area and the NH border towns such as Salem, Pelham, Windham, Plaistow |
| Zone 2 | $159.95 per pickup | Greater Nashua and Manchester |
| Zone 3 | $199.95 per pickup | The Seacoast and points farther north |
| Hudson, NH 03051 | Zone 1 or Zone 2 | Confirmed for your street address when you book |
The transportation fee is charged once per pickup, not per box. It assumes ground-level or elevator access. If the boxes are up a flight of stairs or behind a door that needs a key and an escort, a handling fee applies, and we quote it up front so the invoice matches the quote. There is a longer explanation of how the bands are drawn in our guide to shredding pickup cost by distance.
When you call, have three things ready: the street address, a rough box count, and how the driver gets in. Those three answers set the whole price. Everything else, like the date and who signs, can be sorted in the same call.
What Hudson NH business shredding costs, pickup by pickup
Business jobs are bigger than household ones, so the box rate matters more than the per-pound rate. Under 10 boxes we charge 99 cents a pound, and a standard banker’s box of paper weighs about 30 pounds. At 10 or more boxes the flat rate takes over, $15 per small box and $20 per large banker’s box, however heavy the files are. Every job adds a $14.95 HIPAA filing fee and a $19.95 environmental fee, $34.90 in total.
| Job size | Shredding | Drop-off total | Pickup if Zone 1 | Pickup if Zone 2 |
|---|---|---|---|---|
| 5 banker’s boxes (about 150 lb) | $148.50 | $183.40 | $313.35 | $343.35 |
| 10 large boxes | $200.00 | $234.90 | $364.85 | $394.85 |
| 20 large boxes | $400.00 | $434.90 | $564.85 | $594.85 |
| 40 large boxes | $800.00 | $834.90 | $964.85 | $994.85 |
| Witnessed, 5 boxes (about 150 lb) | $298.50 | $333.40 at our office | Not a pickup service | Not a pickup service |
Read the chart from left to right and the fee story is plain. On five boxes, the pickup nearly doubles the bill. On forty boxes, it adds less than a fifth. That is the arithmetic behind our usual advice to Hudson offices: drive the small loads down, and save the pickup for the jobs where someone would otherwise spend an afternoon loading a car.
Two habits keep business bills low. First, batch. The $34.90 and the transportation fee are charged per job, so one pickup of 20 boxes costs far less than four pickups of five. Second, count before you book. If you are at eight or nine boxes, fill a tenth. Nine boxes by weight run about $267.30 before fees. Ten boxes at the flat rate are $200. All of our numbers are on the shredding rates page if you want to check our math.
Hudson NH business shredding for medical and dental offices
Medical, dental, chiropractic, physical therapy and counseling offices make the most sensitive paper in town. Intake forms, superbills, referral letters, lab printouts, explanation of benefits statements and the day sheet all carry protected health information. HIPAA does not let any of it go into a recycling dumpster.
The Privacy Rule requires a covered entity to keep appropriate administrative, technical and physical safeguards for protected health information, under 45 CFR 164.530(c). That duty does not end when a chart is retired. The Security Rule adds a required disposal standard for electronic health information and the hardware or media it sits on, under 45 CFR 164.310(d)(2)(i), which is why old drives belong in their own bag.
When we pick up or shred paper that holds health information, we are acting for your practice. Covered entities can ask us to sign a Business Associate Agreement on request, which is the contract HIPAA expects under 45 CFR 164.502(e) and 164.504(e). Ask for it before the first job, not after. Our medical shredding service page goes deeper into the process, and our checklist of HIPAA shredding requirements walks through each rule.
Daily paper
Sign-in sheets, printed schedules, label sheets and fax confirmations. Into the locked console the same day they are done with.
Retired charts
Paper charts past your retention period. Check your licensing board’s rule and your own policy before anything leaves the building.
Billing records
EOBs, superbills, claim printouts and patient statements. They carry insurance ID numbers as well as diagnoses.
Film and drives
X-ray film and old computer drives are media. Bag them separately and we quote them per item. See our hard drive destruction page.
How often should a Hudson practice book? It depends on how much paper you make and how much locked storage you have. A small office filling one banker’s box a month could drive it down each month for about $64.60 a trip, or about $775.20 a year. The same office could keep the paper locked and book one Zone 2 pickup a quarter. Three boxes each time come to $89.10 in shredding, $34.90 in fees and $159.95 to collect, or $283.95 a quarter. A practice with a locked records room and a twice-a-year purge spends less again.
Keep the certificate with your disposal records. HIPAA’s documentation standard, 45 CFR 164.530(j), keeps required documentation for six years from when it was created or last in effect. A certificate filed with the date, the job and the box count is the easiest proof you will ever have that a batch of charts was destroyed properly. Read more about what goes on each certificate of destruction.
What every Hudson business job includes
Pickup, drop-off or witnessed, the paperwork and the handling are the same. These are the numbers a Hudson office manager tends to ask about first.
- Cross-cut shredding at our Tewksbury office after your boxes arrive, never at the curb
- Locked handling and a documented chain of custody from your door to the shredder
- A Certificate of Destruction on every job at no charge beyond the HIPAA filing fee
- A Business Associate Agreement on request for covered entities and business associates
- All of the shredded paper baled and recycled
- No long-term contract. Book one pickup, or book one every quarter
Planning a Hudson office cleanout
Cleanouts happen for a handful of reasons. An office moves out of a suite, a practice retires charts that have passed their retention date, a company closes, or a new manager finally opens the storage room. The shredding is the easy part. The planning is what keeps it to one pickup instead of three.
- Inventory the storage room. Walk it with a notepad. Group files by type and year: payroll, client files, patient charts, tax returns, vendor files. You are not sorting for us. You are finding the boxes that must stay.
- Check retention before anything leaves. Pull the boxes still inside their retention period and mark them clearly. Once paper is shredded there is no getting it back, so this is the step to do slowly. The table further down covers the common federal periods.
- Count the boxes and estimate the weight. A full banker’s box runs about 30 pounds. At 10 or more boxes you pay by the box, so the count matters more than the weight. Mixed bags of loose paper are fine too and go on the scale.
- Book a date that is not your moving day. Pickup always needs an appointment and we never promise same-day service. Book the shred pickup a few days before the movers so the paper is gone before furniture starts moving.
- Stage the boxes near the exit. Close the boxes and stack them near the loading door or the main entrance. Leave staples, paper clips, binder clips, rubber bands and folders in. Take out three-ring binder hardware, hanging-folder frames and anything that is not paper.
- Have the right person sign. For a practice or a firm, the person who signs for records should hand the boxes over. File the booking confirmation with the certificate when it arrives.
For the bigger picture on moving offices, closing a business and estimating box counts, read our guide to office cleanout shredding. The day before the driver comes, our shredding pickup checklist is a good last look.
Industrial parks, Route 111 offices and getting the driver in
Hudson’s business addresses fall into a few patterns, and each one changes how a pickup goes. The town’s economic development pages describe two industrial parks. The Sagamore Industrial Park sits just north of the Sagamore Bridge between Route 3A and the Merrimack River, on streets such as Executive Drive, Friars Drive, Wentworth Drive and Flagstone Drive. The Clement Road Industrial Park runs along Route 111 between Sullivan Road and Clement Road, taking in Constitution Drive, Hudson Park Drive, Wall Street, Park Avenue, Industrial Drive and Commercial Street.
Park buildings are usually the easiest pickups we do. There is a loading door or a ground-floor entrance, parking near the door, and boxes that can roll straight onto a hand truck. Tell us which door to use and whether the building has a receiving window. If a tenant suite is deep inside a shared building, say so, because a long walk with a full cart is part of the access picture.
Offices above shops along Lowell Road, Derry Road or Route 111 are a different job. A second floor with no elevator means stairs, and stairs carry a handling fee. That is fine. We just want to quote it in the first call so nothing changes on the day. A basement storage room in an older building falls in the same group.
One more Hudson detail matters for business paper. The town’s West Road Transfer Station is for residential use only, according to the Public Works rules, and commercial vehicles are not allowed in except under a prior agreement for residential purposes. Business records do not belong there in any case. A recycling container keeps paper readable until it is processed, and readable paper is the whole problem. A shredder that turns it into cross-cut strips, followed by a certificate, is the business answer.
Pickup tip from the counter: if the building has a front desk or a property manager, tell them the date of the pickup. A driver who is expected gets to the boxes faster, and the boxes spend less time sitting in a hallway.
Hudson businesses close to the Pelham line or across the river from Nashua can compare notes with their neighbors. We also run business pickups covered on our Pelham NH business shredding page and for Nashua business shredding pickup customers. The full list of towns sits on our service areas page.
What a Hudson business must keep before it shreds
The fastest way to regret a cleanout is to shred something you still needed. Before you book, check each record type against the rule that governs it. These are the federal periods most small offices run into. Your licensing board, your insurer or a contract can require longer, and the longer rule wins.
| Record | How long to keep it | Where the rule comes from |
|---|---|---|
| Most business income tax records | 3 years | IRS, How long should I keep records |
| Records where income left off the return was over 25 percent of reported gross income | 6 years | IRS |
| Records for a bad debt deduction or worthless securities | 7 years | IRS |
| Employment tax records | At least 4 years after the tax is due or paid, whichever is later | IRS |
| Form I-9 for a former employee | 3 years after hire or 1 year after employment ends, whichever is later | USCIS Handbook for Employers M-274 |
| HIPAA policies and required documentation | 6 years from creation or last effective date, whichever is later | 45 CFR 164.530(j) |
Medical charts themselves follow your licensing board and your own policy, not the HIPAA documentation rule. If you are not sure, ask your board or your attorney before the boxes leave, not after.
Some Hudson businesses carry an extra federal duty at disposal time. If you pull credit reports on tenants, job applicants or buyers, the FTC’s Disposal Rule at 16 CFR Part 682 says to burn, pulverize or shred that information so it cannot be read or reconstructed. Tax preparers and other financial businesses fall under the GLBA Safeguards Rule at 16 CFR Part 314. And if your business ever has computerized personal data exposed, New Hampshire’s breach notice statute, RSA 359-C:20, sets out who you must notify. Old office drives deserve the same care as a filing cabinet.
Pickup, drop-off or witnessed: which fits your Hudson office
Here is how we would steer a Hudson business on the phone. It comes down to volume, who is free to drive, and whether anyone needs to see the paper destroyed.
| Your situation | Our pick | Why |
|---|---|---|
| One box a month from a small office | Drop-off | About $64.60 a trip. A pickup would add $129.95 or $159.95 each time |
| Quarterly purge of 3 to 5 boxes from a practice | Pickup or drop-off | Pickup if staff cannot leave, drop-off if someone drives south anyway |
| Storage room of 20 to 40 boxes | Pickup | $564.85 to $994.85 all in, and nobody loads a car |
| Office move or business closing | Pickup, booked before moving day | One job, one set of fees, one certificate |
| HR files, legal matters or charts someone must see destroyed | Witnessed | $1.99 per pound, $100 minimum, certificate signed in front of you |
| Old computers, drives, phones or x-ray film | Bag separately | Physically destroyed and quoted per item |
The short version: for a box or two, drive it down. For a storage room, book the pickup. For the folders that would keep you up at night, pay the extra dollar a pound and watch. If you want to understand the walk-in option before you send someone, read how drop-off shredding works at our counter.
From Hudson Town Hall at 12 School Street, the drive is about 22 miles. The usual route crosses into Nashua on the Circumferential Highway, picks up the Everett Turnpike south, which becomes Route 3 in Massachusetts, then takes I-495 north to Route 38. Plan on roughly 35 minutes without heavy traffic, and avoid the weekday commuter peaks on Route 3.
Witnessed sessions are booked by appointment at our office. A Hudson HR manager closing out personnel files for five former employees, at about 150 pounds of paper, would pay $298.50 for the shredding and $34.90 in fees, $333.40 in total, and walk out with a signed certificate. Read more about witnessed shredding before you book one.
Frequently asked questions
What pickup zone is a Hudson NH business in?
Hudson sits between our Zone 1 border towns and greater Nashua, which is Zone 2. We confirm the zone for your exact street address when you book. Zone 1 pickups cost $129.95 and Zone 2 pickups $159.95, on top of the normal shredding rates and the $34.90 per-job fees. Budget with $159.95 if you need a planning number.
How much does it cost to shred 20 boxes from a Hudson office?
Twenty large banker’s boxes are $400 at the $20 box rate, plus $34.90 in per-job fees. A pickup adds the transportation fee for your zone, so the total is $564.85 in Zone 1 or $594.85 in Zone 2. If someone drives the boxes to our Tewksbury office instead, the total is $434.90.
Will you sign a Business Associate Agreement for our Hudson practice?
Yes. We sign a Business Associate Agreement on request for HIPAA covered entities and business associates. Ask for it before the first pickup so it is in your files before any health information leaves the building. Every job also comes with a Certificate of Destruction, covered by the $14.95 HIPAA filing fee.
Do you shred on site at our Hudson building?
No. We do not bring a shredder to your address. A driver loads your boxes, they stay in locked handling, and they are shredded at our office at 1215 Main Street, Unit 115, Tewksbury, MA after they arrive. If someone must watch the destruction, book a witnessed session at our office.
Can you pick up the same day we call?
We never promise a pickup on the day you call. Pickups are booked by appointment, so call or book online a few days ahead, especially before an office move or a lease end. If the deadline is tight, someone from your office can drive the boxes to our Tewksbury counter any weekday from 10 a.m. to 5 p.m. with no appointment.
Our Hudson office is on a second floor with no elevator. Is that a problem?
Not at all. Our pickup prices assume ground-level or elevator access, so stairs or restricted access carry a handling fee. We quote it up front when you book, so the invoice matches what we told you. Mention a basement storage room or a long interior walk the same way.
Do we need to remove staples and folders first?
No. Leave staples, paper clips, binder clips, rubber bands and file folders in. Please take out three-ring binder hardware, the metal frames from hanging folders, and anything that is not paper. Hard drives, phones, tapes and x-ray film go in a separate bag, and we quote them per item.
Can a Hudson business use the town transfer station for old files?
The Town of Hudson’s transfer station rules say the facility is for residential use only, and commercial vehicles are not allowed in except under a prior agreement for residential purposes. Business records also need destroying, not just recycling. A pickup or drop-off with a certificate is the safer route for anything with names or numbers on it.
How long is the drive from Hudson to your office?
From Hudson Town Hall at 12 School Street it is about 22 miles. Cross into Nashua on the Circumferential Highway, take the Everett Turnpike south, which becomes Route 3 in Massachusetts, then I-495 north to Route 38 in Tewksbury. Without heavy traffic it takes about 35 minutes.
