A Nashua pickup: sealed boxes leave your office and are shredded at our Tewksbury office.

Quick answer

A Nashua business shredding pickup from New Hampshire Document Shredding is a Zone 2 job: a $159.95 transportation fee, 99 cents a pound under 10 boxes or a flat $15 per small box and $20 per large banker’s box at 10 or more, plus $34.90 in per-job fees. Twenty large boxes come to $594.85 all in. We load your boxes by appointment and shred them at our Tewksbury office through our off-site shredding service, and every job gets a Certificate of Destruction.

Which Nashua businesses book a pickup instead of driving

This page is for the office manager, practice administrator or owner who has to get a pile of business records destroyed and proven destroyed. If you are a Nashua household with a box or two, our general page on shredding in Nashua covers the drive and the home options. Here we stay on pickups for offices.

A pickup means our driver comes to your Nashua address on a booked date, loads your sealed boxes, and brings them back to our office at 1215 Main Street, Unit 115, in Tewksbury, Massachusetts. They are shredded there after they arrive. We do not shred at your building, and we have no drop box or office in New Hampshire.

Three kinds of Nashua jobs make up most of the pickups we schedule. They differ in how often you call us and how many boxes are waiting.

The one-time purge

A storage room, a basement or a run of filing cabinets that finally has to go. Usually 15 to 60 boxes, booked once, often tied to a retention review at year end. One trip, one invoice, one certificate.

The repeat schedule

A practice, firm or agency that fills a few boxes every month. You pick a rhythm, quarterly or twice a year, and book each pickup ahead. No contract holds you to it. You can change the timing whenever your volume changes.

The office cleanout

A move, a lease ending, a merger or a business closing. The deadline is fixed, the boxes are many, and nobody has time to haul them. This is where a pickup earns its fee fastest.

The common thread is staff time. A Nashua office that sends an employee down Route 3 with a car full of boxes is paying for that afternoon in wages and in phones that go unanswered. When the box count climbs past what fits in one car, the $159.95 Zone 2 fee is usually the cheaper line on the budget.

What a Nashua business shredding pickup costs at every volume

Every pickup bill has the same three parts. First the shredding itself, which is the same price you would pay at our counter. Then the two per-job fees that come with every job, $14.95 for the HIPAA filing that produces your certificate and $19.95 for recycling the shred. Last, the Zone 2 transportation fee of $159.95 for greater Nashua. The full sheet is on our shredding rates page.

Under 10 boxes, we weigh and charge 99 cents a pound. A standard banker’s box of office paper weighs about 30 pounds. At 10 boxes or more, the flat box rate takes over: $15 for a small box, $20 for a large banker’s box. The table shows a range of Nashua office volumes, with the fixed $194.85 in fees and transport added to each one.

Boxes picked up in NashuaShreddingFees + Zone 2TotalPer box
3 banker’s boxes (about 90 lb)$89.10$194.85$283.95$94.65
5 banker’s boxes (about 150 lb)$148.50$194.85$343.35$68.67
10 small boxes$150.00$194.85$344.85$34.49
10 large boxes$200.00$194.85$394.85$39.49
15 large boxes$300.00$194.85$494.85$32.99
20 large boxes$400.00$194.85$594.85$29.74
30 large boxes$600.00$194.85$794.85$26.50
60 large boxes$1,200.00$194.85$1,394.85$23.25

Read the last column. The fees and the trip cost the same for three boxes or sixty, so the cost per box falls fast as the pile grows. Three boxes picked up cost close to $95 each. Sixty cost about $23 each. That one column explains most of our scheduling advice below.

Counter tip for offices: if you are sitting at seven, eight or nine full banker’s boxes, fill a tenth before the driver comes. Nine boxes by weight run about $267.30 in shredding. Ten large boxes at the flat rate are $200. The extra box costs you nothing.

Two things can change these totals. Access is the first. The Zone 2 price assumes ground-level or elevator access. A second-floor office over a Main Street storefront with no elevator carries a handling fee, and we quote it when you book, not on the day. The second is the zone itself. Greater Nashua is Zone 2, and we confirm the zone for your exact address at booking, which matters if your building sits near the Hudson or Merrimack line.

Hard drives, backup tapes, discs and old phones are not in the table. They are physically destroyed and quoted per item. Bag them separately and mention them when you book. Our hard drive destruction page explains how media is handled.

How to schedule a Nashua business shredding pickup

A pickup is an appointment, not a truck that happens to pass by. We never promise same-day service, so book a little ahead and give yourself room to pack. The booking itself takes a few minutes online or by phone. Most of the work is on your side, and most of it is counting.

Nashua business pickup, step by step: book, confirm zone and access, seal and stack, driver loads, shredded in Tewksbury, certificate From your Nashua office to a Certificate of Destruction 1 Book Online or (978) 636-0301. Address, box count, media. 2 Confirm Zone 2 at $159.95. Stairs, elevator or dock. 3 Seal and stack Staples and clips stay in. Binder rings come out. 4 Driver loads Box count agreed at door. Locked handling begins. 5 Shredded At 1215 Main Street, Tewksbury. Cross-cut. 6 Certificate Certificate of Destruction for your records file.
The six steps of a Nashua pickup. Shredding happens at our Tewksbury office after the boxes arrive, never at your building.
  1. Count before you call. Walk the storage room and count boxes, not shelves. Note which are small and which are full banker’s boxes, and set aside anything that is not paper. A rough count is fine. It tells us how much room the driver needs and tells you which price row applies.
  2. Book online or by phone. Use the booking form or call (978) 636-0301 with the street address, the suite, the box count and a contact name. Say if there is a loading dock, an elevator, or a flight of stairs. That is the moment we confirm Zone 2 and quote any handling fee.
  3. Pick a date that suits the office. Choose a day when the person who signs for records is in. Many Nashua offices pick a slow afternoon midweek, away from month-end close or a busy clinic morning. Pickups outside our 10 to 5 weekday hours are possible by appointment.
  4. Seal and stack near the door. Close every box and tape any that are overfull. Staples, paper clips, binder clips, rubber bands and file folders can stay in. Take out three-ring binder hardware, the metal frames from hanging folders and anything that is not paper.
  5. Hand off and agree the count. The driver loads the boxes and you agree the count. From there the boxes stay in locked handling until they are shredded at our office in Tewksbury.
  6. File the certificate. Your Certificate of Destruction comes with the job. Keep it with your retention schedule and your booking confirmation. Together they show what left, when, and how it was destroyed.

Tell us about the building before the day, not on it. An office park off Spit Brook Road with a rear door and a cart is a quick load. A walk-up suite above a downtown storefront takes longer, and a medical building with a shared lobby may want the driver to use a service entrance. A two-line note in your booking saves everyone a phone call. Our shredding pickup checklist has the full prep list if you want to print it for the front desk.

One-time or repeat pickups: choosing a rhythm for your Nashua office

Because the fees and the trip are fixed per job, how often you book matters as much as how much you shred. Take a Nashua office that fills about five banker’s boxes a month, sixty a year. The chart shows what that office pays in a year at four different rhythms, using nothing but our published rates.

Yearly cost of picking up 60 banker’s boxes from a Nashua office, by pickup frequency, Zone 2 One Nashua office, 60 boxes a year: total yearly cost by pickup rhythm $0 $1,000 $2,000 $3,000 $4,000 $4,120.20 Monthly, 5 boxes $1,979.40 Quarterly, 15 boxes $1,589.70 Twice a year, 30 $1,394.85 Once a year, 60 Shredding + $34.90 fees + $159.95 Zone 2 fee, every pickup
Yearly totals for 60 banker’s boxes at about 30 lb each. Monthly pickups of 5 boxes are priced at 99¢ per pound. Pickups of 15, 30 or 60 boxes use the $20 large-box rate. Every pickup adds $34.90 in per-job fees and the $159.95 Zone 2 fee.

Monthly pickups cost that office about three times what one yearly pickup costs. The shredding itself barely changes. What changes is paying the $194.85 in fees and transport twelve times instead of once, and paying by the pound on small loads instead of the flat box rate.

Waiting a whole year is not free either. Paper that sits in a back room for twelve months is paper that someone can open, misfile or lose. Storage space has a cost, and so does a box of old payroll records sitting next to the coffee maker. Our view is that most Nashua offices land well at quarterly or twice a year.

RhythmWorks best forWhat to watch
One-timeA year-end purge, a move, a closing, a retention backlogPlan the date around the retention review, not before it
Twice a yearSmall law, accounting and insurance offices with steady but modest volumeKeep the waiting boxes sealed and in a locked room
QuarterlyMedical and dental practices, property managers, busier officesFill to 10 boxes or more so the flat box rate applies
MonthlyRarely the cheapest by pickup. Consider staff drop-off for small monthly loadsUnder 10 boxes, you pay by the pound plus the full fees each time

Tax preparers have a firm outer limit to plan around. The FTC’s Safeguards Rule, which the FTC applies to tax preparation firms, says covered businesses should securely dispose of customer information no later than two years after its last use to serve the customer, unless there is a business need or legal duty to keep it. A twice-yearly pickup fits that easily. A box forgotten in a closet for three years does not.

No contract ties you to any of this. You book each pickup when you need it, and you can move from quarterly to twice a year the moment your volume drops. If a single purge is all you need this year, our page on one-time shredding service walks through that choice for small offices and homes.

The fixed numbers behind every Nashua pickup

Office cleanouts and moves in Nashua

A cleanout has one thing a routine pickup does not: a deadline you cannot move. The lease ends, the movers are booked, or the doors close for good on a set date. Work back from that date and book the shredding pickup for a day or two before the movers, so the records room is empty when they arrive.

The biggest mistake we see is shredding first and checking retention second. Before anything goes in a box for us, someone with authority should sign off on what may be destroyed. Tax records, personnel files, client files and patient charts each have their own keeping periods, and some of them outlast a move.

An office manager tapes shut a row of file boxes in an emptied records room with bare metal shelving
Seal, label and stack the boxes before the pickup date.

Here is the order we suggest for a Nashua office that is moving or closing. It keeps the shredding to one trip and one invoice in most cases.

  • Pull the retention schedule and mark each file series keep, move or destroy
  • Box the destroy pile in banker’s boxes so the $20 flat rate applies at 10 or more
  • Mark keep boxes clearly so they never end up on the shred stack
  • Bag hard drives, phones and backup media separately for a per-item quote
  • Book the pickup with the box count and building access a week or more ahead
  • File the certificate with the closing or move records

Size helps you plan. A records room of 40 large banker’s boxes picked up from Nashua costs $800 in shredding, $34.90 in fees and $159.95 for Zone 2, so $994.85 in total. If you split the same room into two pickups a month apart, you pay the fees and the transport twice, which adds $194.85. One well-planned trip is cheaper than two rushed ones.

Very large volumes, such as a whole warehouse of records, can be planned with us in advance. Call before you start packing so we can talk through timing and access. Our page on office cleanout shredding goes deeper on moves, closings and how to estimate box counts from shelf space.

The paperwork a Nashua business pickup leaves behind

Most offices book a pickup because a rule says the paper cannot just go in the recycling. The shredding is half the job. The other half is being able to show, later, that you did it properly. Here is how the federal rules line up with what you get from us.

Medical and dental practices

The HIPAA Privacy Rule, at 45 CFR 164.530(c), requires covered entities to keep reasonable safeguards on protected health information, and that duty runs right through disposal. Electronic media is covered separately by the Security Rule at 45 CFR 164.310(d)(2)(i). We sign a Business Associate Agreement on request. Our medical shredding service page covers the HIPAA side in detail.

Tax preparers, lenders and advisers

The FTC’s Safeguards Rule, 16 CFR Part 314, applies to financial institutions as the FTC defines them, which includes tax preparation firms. It asks for secure disposal of customer information within two years of last use, with narrow exceptions.

Anyone who pulls credit reports

Landlords, property managers, car dealers and employers who use consumer reports fall under the FTC Disposal Rule, 16 CFR Part 682. The FTC names burning, pulverizing or shredding paper so the information cannot be read or reconstructed.

Old computers and drives

New Hampshire’s breach notice law, RSA 359-C:20, applies to businesses that own or license computerized data with personal information. A retired office drive full of client data deserves the same care as a filing cabinet. We physically destroy media and quote it per item.

Every job ends with a Certificate of Destruction. Pair it with the booking confirmation, which shows the date and the box count, and you have a simple record for an auditor, a client or your own files. If you want to know exactly what the certificate shows, read our page on the certificate of destruction.

Pickup, a staff drop-off or a witnessed session

A pickup is not always the right call, even for a business. Nashua is about 22 miles from our office, and the drive takes roughly 35 minutes with light traffic. For a small monthly load, an employee who already drives toward Lowell or I-495 can drop the boxes on the way.

Put a number on that trip before you decide. The IRS business standard mileage rate for the second half of 2026 is 76 cents a mile. A round trip from downtown Nashua is about 43 miles, so roughly $33 in vehicle cost, plus an hour and a half of someone’s paid time. Compare that with the $159.95 Zone 2 fee.

Walk-in drop-off runs Monday to Friday, 10 a.m. to 5 p.m., with no appointment. Paper dropped at the counter is shredded the same business day. Read how drop-off shredding works if a staff run makes sense for your volume.

A witnessed session costs more per pound because one of our staff runs your material while you watch, at our office. Five boxes of closed matters, about 150 pounds, come to $298.50 plus $34.90. Law firms and therapists like it because the person who signs the certificate also saw the shredder. More on witnessed shredding before you book.

Neighbouring offices get the same treatment. Businesses across the river can read about shredding pickup in Hudson NH, and those to the north about shredding pickup in Merrimack NH. Every town we cover is listed on our service areas page, and our guide to shredding pickup cost by distance explains how Zone 2 compares with the border towns and the Seacoast.

Frequently asked questions

How much does a Nashua business shredding pickup cost?

It is the shredding charge plus $34.90 in per-job fees plus the $159.95 Zone 2 transport fee. Under 10 boxes we charge 99 cents a pound. At 10 or more, it is $15 per small box or $20 per large banker’s box. Ten large boxes come to $394.85, twenty to $594.85 and sixty to $1,394.85.

Is Nashua in Zone 2 for every address?

Greater Nashua is Zone 2, with a $159.95 transportation fee per pickup. We confirm the zone for your exact address when you book, which matters if your office sits near the Hudson, Merrimack or Hollis line. The fee assumes ground-level or elevator access. Stairs or restricted access add a handling fee that we quote up front.

Can we set up repeat pickups without a contract?

Yes. We do not require a long-term contract. Most Nashua offices that use us regularly simply book each pickup ahead, quarterly or twice a year. You can change the rhythm whenever your volume changes. Each pickup is priced on its own, with the same fees and the same Zone 2 transport fee.

How soon can you pick up from our Nashua office?

Pickups are booked by appointment, and we do not promise same-day service. Book online or call (978) 636-0301 and we will offer the next dates that fit our route. For a move or a lease end, book a week or more ahead so the shredding happens before the movers arrive.

Do we need to remove staples and paper clips first?

No. Staples, paper clips, binder clips, rubber bands and file folders can stay in. Please take out three-ring binder hardware, the metal frames from hanging folders and anything that is not paper. Hard drives, tapes, discs and phones go in a separate bag and are quoted per item.

Is the paper shredded at our building?

No. We load the sealed boxes at your Nashua office and drive them to our office at 1215 Main Street, Unit 115, Tewksbury, MA, where they are shredded after they arrive. If someone in your office needs to watch the shredding, book a witnessed session at our office instead.

Will a Nashua medical practice get a Business Associate Agreement?

Yes, on request. We sign a Business Associate Agreement with HIPAA covered entities and business associates. Every pickup also comes with a Certificate of Destruction. Keep the certificate and the booking confirmation with your disposal records so you can show when patient files were destroyed.

Is it cheaper to have staff drive the boxes down?

For a few boxes, usually yes. Nashua is about 22 miles from our office. At the IRS business rate of 76 cents a mile, a round trip is about $33 in vehicle cost plus an hour and a half of staff time. Against the $159.95 Zone 2 fee, the drive wins on small loads and the pickup wins on big ones.
