Medical office shredding Nashua NH: HIPAA pickup, priced per box
Medical office shredding Nashua NH practices can budget for: a Zone 2 pickup, a Business Associate Agreement, and a Certificate of Destruction on every job. Below are the rules, a realistic monthly volume, and what six different schedules cost over a year.
Zone 2 pickup from Nashua for $159.95 plus 99¢ a pound. Certificate of Destruction on every job.
- HIPAA BAA on request
- $159.95 Zone 2 pickup
- Since 2007
- BBB A+
Quick answer
New Hampshire Document Shredding picks up from Nashua medical and dental offices as a Zone 2 job: a $159.95 transportation fee, the same shredding rate as drop-off (99 cents a pound, or $20 per banker’s box at 10 or more), and $34.90 in per-job fees that include the Certificate of Destruction. We sign a Business Associate Agreement on request. A practice that fills about two banker’s boxes a month pays roughly $870 a year with a twice-yearly pickup, against about $3,051 for a monthly one, so batching your boxes saves the most.
Medical office shredding Nashua NH practices use with us
A Nashua practice has three ways to get patient paper to our shredder. Someone can drive the boxes to our office at 1215 Main Street, Unit 115, Tewksbury, MA. We can pick them up from the office. Or a staff member can book a witnessed session and watch the material go through. All three end in the same place, because we shred at one location only. We do not shred in your parking lot and we have no drop box in New Hampshire.
For most practices, pickup is the one that fits. Front desk staff are hard to spare for an afternoon on Route 3, and a records closet tends to fill faster than anyone expects. Greater Nashua sits in our Zone 2. That sets the transportation fee at $159.95 per pickup, and we confirm the zone for your exact address when you book.
This post stays narrow on purpose. It covers Nashua medical and dental offices, the Zone 2 pickup, the paperwork HIPAA expects, and what the bill looks like over a year. Our main medical shredding service page covers the wider HIPAA picture for every New Hampshire practice.
Zone 2 pickup
By appointment. We load your sealed boxes, drive them to Tewksbury, and shred them after they arrive. $159.95 plus the shredding rate and per-job fees.
Drop-off in Tewksbury
Walk in Monday to Friday, 10 a.m. to 5 p.m. About 22 miles from Nashua City Hall, typically 30 to 35 minutes without traffic. Shredded the same business day.
Witnessed session
$1.99 a pound with a $100 job minimum, plus the per-job fees. Your staff member watches the shredding, and the certificate is signed in front of them.
What HIPAA and New Hampshire ask of a Nashua practice
No federal rule tells a practice which shredding company to use or how often to shred. What the rules do require is that you protect patient information until it is gone, and that you have a policy for getting rid of it. Here is the short version, with the section numbers your compliance binder should cite.
| Rule | What it says, in plain words | What it means at the front desk |
|---|---|---|
| 45 CFR 164.530(c) | A covered entity must have appropriate administrative, technical and physical safeguards to protect the privacy of protected health information | Paper PHI stays locked up until it is destroyed, not in an open recycling bin under the printer |
| 45 CFR 164.310(d)(2)(i) | Implement policies and procedures for the final disposition of electronic PHI and the hardware or media it is stored on | Old drives, phones and discs need a disposal plan too |
| 45 CFR 164.504(e) | Sets the requirements for business associate contracts | Get a signed BAA from the company that handles your PHI for destruction |
| 45 CFR 164.530(b) | Train the workforce on the practice’s privacy policies and procedures | Everyone who touches the console knows what goes in it |
| NH Board of Medicine, Med 501.02(f)(8) | Licensees keep a complete copy of patient records for at least 7 years from the patient’s last contact | Check retention before a records purge, not after |
The retention rule is the one practices trip on. Med 501.02 says a licensee keeps a complete copy of each patient’s records for at least 7 years from the last contact, unless the patient asked earlier for the file to go to another provider. That clock starts at the last visit, not the first. A chart opened in 2012 for a patient seen last spring is not ready for the shredder.
Dental offices answer to their own licensing board, the New Hampshire Board of Dental Examiners, and many practices also follow payer contracts that set their own periods. Check every rule that applies to you and use the longest. Our guide to HIPAA shredding requirements goes deeper on the federal side.
New Hampshire’s breach notice law, RSA 359-C:20, covers computerized data with personal information. It is one more reason an old practice laptop or server drive deserves the same care as a filing cabinet. We physically destroy drives and quote them per item.
A realistic monthly volume, and how to measure yours
Every practice asks how much paper it should expect. There is no honest industry number we can quote you, and your volume depends on how much you still print. So instead of a guess, here is how to measure your own in one month, and a worked example you can scale.
Start with what lands in the shred console. In a typical Nashua office that means printed schedules, intake forms that were scanned into the record, referral letters, lab printouts, insurance cards copied at check-in, explanation of benefits letters and returned mail. Add the occasional purge of charts that have passed their retention date, which comes in big bursts rather than a steady flow.
- Empty the console on the first of the month. Ask the person who services it to note the date. If you use loose bins, start with them empty and locked.
- Count what you fill in 30 days. At the end of the month, pack the paper into standard banker’s boxes. A full banker’s box of paper weighs about 30 pounds.
- Separate the steady flow from the purge. Daily paper is your baseline. A chart purge is a one-time job and should be booked on its own.
- Multiply by twelve. That is your yearly box count. It decides whether you should pick up monthly, quarterly or twice a year.
- Check your storage. Ask where those boxes will sit, locked, between pickups. That answer limits how long you can batch.
For the worked example below, we use a practice that fills two banker’s boxes a month, about 60 pounds. That is 24 boxes a year. Pick your own number and the math scales the same way.
What medical office shredding Nashua NH practices pay over a year
Two prices drive the bill. The Zone 2 transportation fee is flat per pickup, so every extra pickup adds $159.95. The box rate drops to $20 a box once a job reaches 10 boxes, which is cheaper than paying by the pound for the same paper. Both reward batching. The full price list is on our shredding rates page.
| Schedule | Boxes per job | Cost per job | Jobs a year | Yearly total | Per month |
|---|---|---|---|---|---|
| Monthly drop-off | 2 (60 lb) | $94.30 | 12 | $1,131.60 | $94.30 |
| Monthly Zone 2 pickup | 2 (60 lb) | $254.25 | 12 | $3,051.00 | $254.25 |
| Quarterly drop-off | 6 (180 lb) | $213.10 | 4 | $852.40 | $71.03 |
| Quarterly Zone 2 pickup | 6 (180 lb) | $373.05 | 4 | $1,492.20 | $124.35 |
| Twice-yearly drop-off | 12 boxes | $274.90 | 2 | $549.80 | $45.82 |
| Twice-yearly Zone 2 pickup | 12 boxes | $434.85 | 2 | $869.70 | $72.48 |
The gap is large. Monthly pickup costs about three and a half times as much as a twice-yearly pickup for the same 24 boxes. The paper is identical. You are paying for eleven extra trips and for shredding small jobs by the pound instead of by the box.
Counter tip: if your locked storage can hold a dozen boxes, book the pickup when you reach 10 or more. You get the $20 box rate and pay the $159.95 Zone 2 fee once instead of three or four times.
Batching has one condition. The boxes must stay protected while they wait, in a locked closet, a locked console or a room only authorized staff can enter. That is what 45 CFR 164.530(c) asks for. If you have nowhere secure to keep six months of paper, a quarterly pickup is the honest middle ground. Our post on medical shredding cost runs the same math for other volumes.
BAA, certificate and chain of custody on every Nashua job
The paperwork is the part of medical shredding that protects you later. It does not change with the size of the job or the service you pick.
- A Business Associate Agreement before the first pickup, when you ask for one
- Sealed boxes loaded by our driver and kept in locked handling to Tewksbury
- Cross-cut shredding at our office after the boxes arrive
- A Certificate of Destruction for every job, for your compliance file
- No long-term contract. Book once, or every quarter
What a Zone 2 pickup day looks like for a Nashua practice
A pickup is short and quiet when it is planned. Here is the path your paper takes, from the console at the front desk to a certificate in your binder. Our page on chain of custody shredding explains each handoff in more detail.
- Book and ask for the BAA. Book online or call (978) 636-0301. Give the address, a box count, and the name of the person who will release the boxes. Ask for the Business Associate Agreement now, so it is signed before the first pickup.
- We confirm the zone and access. Greater Nashua is Zone 2 at $159.95. The price assumes ground-level or elevator access. A second-floor suite with no elevator carries a handling fee, quoted up front.
- Pack and seal. Close the boxes and stage them inside a locked room. Leave staples, paper clips and file folders in. Pull three-ring binder hardware and hanging-folder frames.
- Hand off and record it. The person on your BAA contact list releases the boxes to our driver. Keep the booking confirmation with the date and box count.
- File the certificate. The Certificate of Destruction comes with the job. File it next to your disposal policy and the BAA so an auditor sees one complete trail.
Dental offices in Nashua: the same rules, a different paper mix
Dental practices are covered entities like any medical office, and the same HIPAA sections apply. The paper mix is a little different. Treatment plans, insurance pre-authorizations, signed consent forms and payment plan paperwork pile up next to the usual schedules and EOBs.
Dental offices also hold more consumer financial paper than you might think. Payment plans and patient financing can involve credit checks. Anyone who uses a consumer report for a business purpose falls under the FTC Disposal Rule, 16 CFR Part 682, which calls for burning, pulverizing or shredding that paper so it cannot be read or reconstructed.
Volume tends to run lower than a busy medical practice, which makes batching even more attractive. A small dental office might do best with a drop-off on the way to a supply run, or a pickup two or three times a year. Our post on dental office shredding covers dental practices across the state.
Old digital x-ray workstations, intraoral camera laptops and practice-management servers often outlive their usefulness quietly in a back room. They count as electronic media under 45 CFR 164.310(d)(2)(i). Bag drives and devices separately from the paper and we quote them per item. See our page on hard drive destruction for what we take.
Pickup, drop-off or witnessed: which fits your practice
Here is how we would steer a Nashua practice manager on the phone. It turns on your volume, your storage and how much of a paper trail your policy demands.
| Your situation | Our pick | Why |
|---|---|---|
| Under 10 boxes a quarter, someone drives past Tewksbury | Drop-off | No transportation fee. About $94.30 for two boxes with fees |
| Steady flow and a locked closet that holds a dozen boxes | Twice-yearly Zone 2 pickup | $434.85 per 12-box pickup, about $72 a month |
| Steady flow, little secure storage | Quarterly Zone 2 pickup | $373.05 per 6-box pickup, about $124 a month |
| A one-time chart purge after retention review | Zone 2 pickup, booked on its own | Large volume at the $20 box rate, one transportation fee |
| Sensitive records your policy says must be seen destroyed | Witnessed | $1.99 per pound, $100 minimum, certificate signed in front of you |
| Old drives, laptops, phones | Bag separately | Physically destroyed, quoted per item |
A records purge deserves its own plan. Pull the charts past their retention date, have a second person check the list, then book one pickup for the lot. Our medical practice records purge plan lays out that process step by step. For the general picture of every service we offer in the city, see our main page on shredding in Nashua.
If your practice is in a multi-tenant medical building, near St. Joseph Hospital or Southern New Hampshire Medical Center or anywhere else in the city, tell us which entrance to use and whether the building wants the pickup cleared with the property manager. It keeps the driver’s visit short.
Frequently asked questions
How much does medical office shredding in Nashua NH cost per pickup?
A Zone 2 pickup from Nashua is $159.95, plus the shredding rate and $34.90 in per-job fees. Two banker’s boxes, about 60 pounds, come to about $254.25. Twelve boxes switch to the $20 box rate and come to $434.85. The transportation fee is the same however many boxes we load.
Will you sign a Business Associate Agreement?
Yes. We sign a Business Associate Agreement on request for HIPAA covered entities and business associates. Ask for it when you book your first pickup so it is in place before any patient paper leaves your office. Keep it in the same file as your disposal policy and your certificates.
Do you shred at our Nashua office?
No. We do not bring a shredder to your building. Our driver loads your sealed boxes and brings them to our office at 1215 Main Street, Unit 115, Tewksbury, MA, where they are shredded after they arrive. If your policy says someone must watch, book a witnessed session at our office instead.
How often should a small practice schedule pickups?
As rarely as your secure storage allows. For a practice filling two boxes a month, a twice-yearly pickup costs about $869.70 a year and a monthly one about $3,051. The paper must stay locked while it waits, which is what 45 CFR 164.530(c) expects. Little storage means quarterly.
How long must a New Hampshire physician keep records before shredding?
The NH Board of Medicine rule Med 501.02(f)(8) says licensees keep a complete copy of patient records for at least 7 years from the patient’s last contact, unless the patient asked earlier for the file to go to another provider. Other rules and contracts may require longer. Use the longest period that applies.
Do we need to remove staples and folders from charts?
No. Staples, paper clips, binder clips, rubber bands and file folders can stay in. Remove three-ring binder hardware, the metal frames from hanging folders, and anything that is not paper. Drives, discs and phones go in a separate bag, and we quote them per item.
What proof do we get that patient records were destroyed?
Every job includes a Certificate of Destruction, covered by the $14.95 HIPAA filing fee within the $34.90 per-job fees. File it with the BAA and your booking confirmation. Together they show who released the boxes, when they left, and when they were destroyed.
Is our office in Zone 2 if we are on the Hudson or Merrimack line?
Greater Nashua is Zone 2. For an address near a town line, we confirm the zone for that exact address when you book, so you know the transportation fee before the driver comes. Pricing assumes ground-level or elevator access. Stairs or restricted access carry a handling fee, quoted up front.
