Quick answer
For Hampton NH business shredding, New Hampshire Document Shredding picks up from your Hampton address as a Zone 3 job: $199.95 for transportation, plus 99 cents a pound or $20 per banker’s box at 10 or more boxes, plus $34.90 in per-job fees. Twenty boxes come to $634.85, shredded at our Tewksbury office with a Certificate of Destruction. Book our off-site shredding by appointment, or drive the boxes to 1215 Main Street, Unit 115, Tewksbury, MA on a weekday.
Who uses Hampton NH business shredding
Hampton runs on two calendars. There is the year-round town of offices, practices and shops along Lafayette Road and the side streets near the Town Office on Winnacunnet Road. And there is the summer town at the beach, where cottages, condos, motels and inns fill up from June to September and empty out after.
Both make paper with names and numbers on it. The difference is timing. A Hampton office produces a steady stream all year. A seasonal rental business produces a summer’s worth all at once, and it sits in a back room until somebody deals with it.
Rental owners and hosts
Booking forms, signed rental agreements, copies of guest IDs, damage and deposit paperwork, and the meals and rooms tax records the state expects you to keep.
Property managers
Tenant applications, screening reports, leases, owner statements and maintenance logs for dozens of units, year-round and seasonal.
Inns, motels and cottages
Registration cards, card authorization forms, folio printouts, group contracts and the staff paperwork that comes with a seasonal crew.
Year-round offices
Medical and dental practices, insurance and real estate offices, accountants and contractors. The same files any Seacoast office closes out each year.
Year-round landlords sit between the two. A two-family on a side street or a block of winter rentals produces leases, applications and deposit paperwork on its own schedule, usually at the start and end of each lease. The same purge plan works for them, timed to their own turnover.
The common thread is that nobody wants to haul twenty boxes to Massachusetts in the middle of a busy week. That is why most Hampton business customers use pickup, and why this page spends more time on Zone 3 than on the drive. If you are a Hampton household with a box or two, our main page on document shredding in Hampton NH covers your options.
Guest and tenant records: what to keep and what to shred
Rental paperwork falls under a few different rules depending on what it is. Some of it you have to keep for a set time. Some of it you have to destroy properly once you are done. Most of it is simply private information about people who trusted you with it.
| Record | Rule that applies | What it means for you |
|---|---|---|
| Meals and rooms tax books and records | RSA 78-A:19: operators keep the books and records for 3 years | Keep 3 years, then shred the aged-out years |
| Tenant credit and screening reports | FTC Disposal Rule, 16 CFR Part 682: dispose by burning, pulverizing or shredding | Shred when you no longer need them |
| Business income tax records | IRS: generally 3 years, longer in some cases | Keep per IRS guidance, then shred |
| Employment tax records for seasonal staff | IRS: at least 4 years after the tax is due or paid | Keep 4 years, then shred |
| Guest ID copies and card authorization forms | Your own policy and your contracts | Keep only as long as you need them, then shred |
| Leases and rental agreements | Your attorney’s advice and your contracts | Set a date in your policy and stick to it |
The meals and rooms rule is the one Hampton rental operators ask about most. RSA 78-A:19 says each operator keeps the books and records of the business for 3 years, in a way that keeps them accessible for inspection by the Department of Revenue Administration. That gives you a clean purge date. Each fall, the year that has passed three years goes in the box.
State law also covers how you advertise. Under RSA 78-A:4-a, any ad or online listing for a short-term rental has to include the operator’s meals and rooms license number. Keep the license paperwork with your current files, not in the shred pile.
Tenant screening is where federal law comes in. If you pull a credit report on an applicant, the FTC’s Disposal Rule covers landlords by name and expects reasonable disposal, which the FTC describes as burning, pulverizing or shredding the papers. Our guide to FACTA compliance in New Hampshire explains how that rule works for small landlords.
For records without a fixed rule, like copies of guest IDs, the safest policy is the shortest one you can defend. If you do not need a copy of a driver’s license after checkout, do not keep it for five summers. Write the policy down and use the certificate from each purge as proof you followed it.
Timing the purge around the Hampton season
Hampton’s own calendar tells you when to purge. The town runs a summer trash schedule that starts on the third Monday of June and ends after the Tuesday following the Seafood Festival in September. Those two dates frame the rental season for most beach businesses, and the weeks right after the second one are the best time to clear the back office.
Fall also lines up with a town requirement many owners deal with anyway. Hampton has required since 1996 that every property containing rental units be inspected by the town’s Rental Inspector once every five years, with a Certificate of Rental Occupancy issued after a successful inspection. The town’s October 2026 notice reminded owners renting for one day or year-round to check their certificate. If you are pulling paperwork for that, pull the files you are done with at the same time.
- Lock it up in season. During the summer, guest folders, card slips and copies of IDs go into one locked bin or cabinet in the office, not a cardboard box under the desk where seasonal staff come and go.
- Pick the purge week. After the season ends, block a week in October or November. The phones are quieter and staff who know the files are often still around.
- Pull the aged-out years. Meals and rooms records older than 3 years, leases and applications past your policy date, and finished guest folders go into banker’s boxes.
- Count and book. Count the boxes, note the floor and any stairs, and book a Zone 3 pickup. Ten or more boxes get the flat box rate.
- Hand off and file. Hand the closed boxes to our driver, keep the booking confirmation, and file the Certificate of Destruction with that year’s records.
Hampton’s curbside trash and recycling carts are not part of this plan. The town’s carts are for household trash and recyclables, and in September 2026 the Select Board posted a draft solid waste policy describing how commercial curbside collection could be handled. Either way, a recycling cart is not a safe place for a guest’s driver’s license.
A one-page records policy for a Hampton rental business
Most small rental businesses in town do not have a written records policy. They have a closet. A one-page policy fixes that, and it makes the yearly purge a five-minute decision instead of an argument about every folder.
You do not need a lawyer to start one, though it is worth having yours look at the lease and guest-file lines. Write down each type of record, how long you keep it, who can see it, and when it goes in the shred box. Then follow it every fall.
| Record type | Where it lives in season | Example keep period to set |
|---|---|---|
| Meals and rooms tax books and records | Office file cabinet | 3 years, per RSA 78-A:19 |
| Guest booking forms and registration cards | Locked bin at the front desk | Set by your policy, as short as you can defend |
| Card authorization forms | Locked bin, separate folder | Only until the charge has cleared and any dispute window has passed |
| Copies of guest IDs | Locked bin | Ideally not kept after checkout |
| Tenant applications and screening reports | Locked cabinet | Set with your attorney, then shred under the FTC Disposal Rule |
| Seasonal payroll and employment tax records | Office file cabinet | At least 4 years after the tax is due or paid, per the IRS |
The middle column matters as much as the last one. In a busy July, the front desk at a Hampton inn or rental office may have new seasonal staff every few weeks. A locked bin that only the manager empties keeps a guest’s card slip from ending up in the wastebasket by the door.
Property managers with many owners: label each purge box with the owner or building it came from before it leaves your office. The certificate covers the whole job, and your box labels let you tell each owner exactly which of their files were destroyed and when.
Once the policy exists, the certificate from each pickup becomes your proof that you follow it. Put a copy in the same binder as the policy. If an owner, an insurer or a former guest ever asks what happened to their paperwork, you can show the rule and the date it was carried out.
Do not forget the paper that never makes it into a folder. Sticky notes with a guest’s card number taken over the phone, printed arrival lists, and the clipboard sheets cleaners use with names and unit numbers are just as private. Put a slot for them in the locked bin and they will be gone with everything else in the fall.
The numbers a Hampton business needs
Four figures cover most Hampton jobs. The prices come from our rate sheet, and the 3-year figure is from RSA 78-A:19.
- Pickup by appointment from your Hampton address. We never promise to come the day you call
- Boxes travel in locked handling to our Tewksbury office and are shredded there after they arrive
- Cross-cut shredding, with every bit of the shred recycled
- A Certificate of Destruction with every job, and a Business Associate Agreement on request
- No contract. Book once a year, or after every season
How Zone 3 pickup works for Hampton NH business shredding
Hampton is on the Seacoast, which puts it in our Zone 3. The transportation fee is $199.95 per pickup. On top of that you pay the same shredding rates as anyone at our counter, 99 cents a pound under ten boxes or the flat box rate at ten or more, plus the $34.90 per-job fees.
| Boxes picked up in Hampton | Shredding | Fees | Zone 3 | Estimated total |
|---|---|---|---|---|
| 5 banker’s boxes (about 150 lb) | $148.50 | $34.90 | $199.95 | About $383.35 |
| 10 banker’s boxes | $200.00 | $34.90 | $199.95 | $434.85 |
| 20 banker’s boxes | $400.00 | $34.90 | $199.95 | $634.85 |
| 40 banker’s boxes | $800.00 | $34.90 | $199.95 | $1,034.85 |
| Small boxes, 10 or more | $15 each | $34.90 | $199.95 | Count times $15, plus $234.85 |
The Zone 3 fee is the same for five boxes or fifty. On five boxes it more than doubles the bill. On forty boxes it works out to about $5 a box. That is why we tell Hampton businesses to save up for one proper end-of-season pickup rather than calling us three times a summer. Our guide to shredding pickup cost by distance shows the same math across all three zones.
- Book online or call. Use the booking form or call (978) 636-0301 with your Hampton address, a box count and anything that is not paper. We confirm the zone for your address when you book.
- Tell us about access. The price assumes ground-level or elevator access. Second-floor offices over a shop or a cottage loft up narrow stairs carry a handling fee, quoted up front so the bill holds no surprises.
- Get the boxes ready. Close the lids and stage the boxes near the door. Leave staples, clips and folders in. Remove binder rings, hanging-folder frames and anything that is not paper.
- We load and drive. Our driver loads the boxes and brings them back to the Tewksbury office in locked handling. They are shredded after they arrive.
- You get the certificate. The Certificate of Destruction comes with every job. File it with the records it covers.
Our shredding pickup checklist is worth printing for whoever will meet the driver. For a big clear-out, like closing an office or turning over a building to new management, read our page on office cleanout shredding first.
When a Hampton business should drive the boxes down
Pickup is the right call for most Hampton business jobs, but not all of them. If you have five or six boxes and someone free on a weekday, the drive saves you the $199.95.
From the Town Office at 100 Winnacunnet Road it is about 36 miles to our door. Head south on I-95, from Route 101 or from US 1 at Seabrook, take I-495 South at the Salisbury split, then leave I-495 at Exit 94 for Route 133 and follow North Street to Route 38. Plan on about 50 minutes to an hour each way in light traffic.
Walk-in drop-off runs Monday to Friday, 10 a.m. to 5 p.m., with no appointment. We weigh the boxes at the counter and the paper is shredded at our office the same business day.
| Your Hampton job | Our pick | Why |
|---|---|---|
| 1 to 6 boxes, someone free on a weekday | Drive to Tewksbury | Five boxes cost about $183.40 at the counter vs about $383.35 picked up |
| 10 to 20 boxes, short-staffed in season | Zone 3 pickup | A two-hour round trip in July can cost more than $199.95 in front-desk time |
| End-of-season purge, 20 boxes or more | Zone 3 pickup | $634.85 for twenty boxes, about $10 a box for transport |
| Boxes in a loft or upstairs office | Pickup, ask for the handling fee | Quoted when you book |
| Files someone must see destroyed | Witnessed session in Tewksbury | $1.99 per pound, $100 minimum, plus $34.90 |
One more option for small, sensitive batches: a witnessed session at our office. You bring the material, watch it go through the shredder, and the certificate is signed in front of you. It costs more per pound, so it suits a single box of disputed leases better than a summer of guest folders.
Card slips, old drives and the medical office next door
Paper is most of the job in Hampton, but not all of it. Three other things come up often enough to plan for.
Card authorization forms and printed folios are the riskiest paper a rental business holds, because they can carry a full card number next to a name and address. Do not keep them in the same box as the cleaning schedule. Lock them up in season and put them at the top of the purge list.
Old booking computers, card terminals with storage, phones and USB sticks go in a separate bag. They are physically destroyed and quoted per item, not by the pound. See our hard drive destruction page before you book.
Year-round practices in Hampton have their own rules. A medical or dental office handling patient records falls under HIPAA, and we sign a Business Associate Agreement on request. Our medical shredding service page covers that side. Real estate offices that handle rental listings and closings will find their records covered in our guide to real estate office shredding.
Neighbors along the Seacoast run the same playbook. Our pages on Portsmouth NH business shredding and Exeter NH business shredding cover Zone 3 pickups for offices up the coast and inland. Every job ends with a certificate of destruction you can show an owner, an auditor or a guest who asks.
Frequently asked questions
How much does Hampton NH business shredding cost with pickup?
Hampton is in Zone 3, so pickup adds a $199.95 transportation fee to the normal shredding rates and the $34.90 per-job fees. Twenty banker’s boxes at $20 each come to $634.85 in total. Ten boxes come to $434.85. Under ten boxes, shredding is 99 cents a pound, about $29.70 per box.
How long do I keep meals and rooms tax records for a Hampton rental?
RSA 78-A:19 says each operator keeps the books and records of the business for 3 years, in a way that keeps them available for inspection by the Department of Revenue Administration. Once a year has passed that point, it can go in your end-of-season purge. Ask your accountant about any records you also need for income tax.
Do landlords have to shred tenant credit reports?
The FTC Disposal Rule, 16 CFR Part 682, covers landlords who use consumer reports. It expects reasonable disposal, and the FTC gives burning, pulverizing or shredding the papers as examples. Shredding the reports when you no longer need them, and keeping the certificate, is a simple way to show you followed the rule.
When is the best time for a Hampton rental business to purge?
Right after the summer season. The town’s summer trash schedule runs from the third Monday of June until after the Tuesday following the Seafood Festival in September. A purge in October or November catches the whole season’s paperwork in one Zone 3 pickup, while the phones are quieter.
Can you pick up the same day I call?
No. Pickup always needs an appointment, and we never promise to come the day you call. Book ahead online or at (978) 636-0301. If you need paper gone today, you can drive it to our Tewksbury office any weekday between 10 a.m. and 5 p.m. with no appointment.
Do you shred at my Hampton property?
Not at your property. Our driver loads your boxes and brings them to our office at 1215 Main Street, Unit 115, Tewksbury, MA, where they are shredded after they arrive. If you need to watch, book a witnessed session at our office instead.
What if my Hampton office is up a flight of stairs?
The Zone 3 price assumes ground-level or elevator access. Stairs or restricted access carry a handling fee, which we quote when you book so nothing changes on pickup day. Tell us the floor, whether there is an elevator, and roughly how many boxes you have.
Is it cheaper to drive from Hampton than to book a pickup?
For a few boxes, yes. Five boxes cost about $183.40 at our counter and about $383.35 picked up. The drive is about 36 miles each way from the Town Office, roughly 50 minutes to an hour in light traffic. For twenty boxes or more, the $199.95 pickup fee usually costs less than a staff afternoon.
Do you take card terminals, phones and old computers?
Yes. Hard drives, phones, USB sticks and other media are physically destroyed and quoted per item, not by the pound. Put them in a separate bag and list them when you book, so we can quote them alongside your Zone 3 paper pickup.
How long should a Hampton rental keep copies of guest IDs?
No single rule sets a period for guest ID copies, so it comes down to your own written policy and your contracts. The safest policy is the shortest one you can defend. Many operators decide not to keep ID copies after checkout at all. Whatever you choose, shred them on schedule and keep the certificate.
