Quick answer
New Hampshire Document Shredding picks up from Exeter offices, medical practices and schools in Zone 3, the Seacoast zone, for a $199.95 transportation fee per pickup, plus 99 cents a pound under 10 boxes or $20 per banker’s box at 10 or more, plus $34.90 in per-job fees. Twenty banker’s boxes picked up from an Exeter office come to about $634.85, and the paper is shredded at our Tewksbury office with a Certificate of Destruction for your file. Pickup is one of our off-site shredding options and always needs an appointment.
Exeter NH business shredding: who books a Zone 3 pickup
The Town of Exeter calls itself the crossroads of the New Hampshire Seacoast, and its paper looks like it. There is a community hospital, a public school system plus private schools, a downtown of professional offices along Front Street and Water Street, and a commercial corridor on Epping Road that the town has set up as a 587-acre tax increment financing district. All of them print, file and eventually have to destroy records with names, numbers and diagnoses on them.
This page is for those organizations. If you are an Exeter household with a few boxes of old tax returns, our main page on document shredding in Exeter NH covers every option for homes, including the drive down and the town’s own recycling rules. Here we stick to the business case: what a pickup costs, how often to book it, and what each kind of Exeter office should ask for.
Professional offices
Law firms, accountants, insurance agents, financial advisers and property managers downtown and along the Epping Road corridor. Their records carry Social Security numbers, account numbers and signed agreements. Most book one or two pickups a year.
Medical and dental practices
Physician, dental and therapy offices around town, with Exeter Hospital as the community hospital. Their paper is protected health information, and HIPAA expects them to safeguard it through disposal. They usually want a Business Associate Agreement before the first pickup.
Schools and education offices
SAU 16 serves Exeter High School, Cooperative Middle School and the Seacoast School of Technology, and Exeter is also home to private schools. Student files, special education paperwork and staff records pile up in offices that rarely have a spare person to load a car.
What these three have in common is volume and staff time. A practice manager can’t leave the front desk for two hours to drive boxes to Massachusetts. A principal’s secretary shouldn’t be lifting twenty banker’s boxes into a hatchback. That is the job pickup was built for.
We are honest about the trade. We have no office or drop box in Exeter or anywhere in New Hampshire, and we don’t shred in a truck at your door. A pickup means our driver loads your sealed boxes, drives them to 1215 Main Street, Unit 115, in Tewksbury, Massachusetts, and they are shredded there after they arrive.
What a Zone 3 pickup costs an Exeter office
Exeter is on the Seacoast, so pickups here fall in Zone 3. The transportation fee is $199.95 per pickup. We confirm the zone for your exact address when you book, which matters mostly if your office sits on a town line. Everything else on the bill is the same as at our counter, and it is all listed on our shredding rates page.
| Boxes picked up | Shredding | Per-job fees | Zone 3 fee | Total | Per box |
|---|---|---|---|---|---|
| 1 banker’s box (about 30 lb) | $29.70 | $34.90 | $199.95 | $264.55 | $264.55 |
| 5 boxes (about 150 lb) | $148.50 | $34.90 | $199.95 | $383.35 | $76.67 |
| 10 boxes at $20 | $200.00 | $34.90 | $199.95 | $434.85 | $43.49 |
| 20 boxes at $20 | $400.00 | $34.90 | $199.95 | $634.85 | $31.74 |
| 40 boxes at $20 | $800.00 | $34.90 | $199.95 | $1,034.85 | $25.87 |
| 60 boxes at $20 | $1,200.00 | $34.90 | $199.95 | $1,434.85 | $23.91 |
Under 10 boxes we charge by weight at 99 cents a pound, and a banker’s box of paper runs about 30 pounds. Once you reach 10 boxes the flat box rate takes over, $20 for a large banker’s box and $15 for a small one. The $34.90 is two per-job fees, $14.95 for the HIPAA filing that covers your Certificate of Destruction and $19.95 for recycling the shred.
Read the last column before you book. The $199.95 fee is the same for one box or sixty, so a small Exeter pickup is expensive per box and a large one is cheap. One box picked up costs more than four times what it costs at our counter. Sixty boxes picked up cost under $24 a box, all in.
Access matters. The Zone 3 price assumes ground-level or elevator access. Many downtown Exeter offices sit upstairs in older buildings with no elevator. That is fine, but a handling fee applies for stairs or restricted access, and we quote it up front when you book so the invoice matches the quote.
How often to book Exeter NH business shredding
Because the transportation fee is charged per pickup, the schedule you choose changes your annual bill more than anything else. Take an Exeter office that fills about 40 banker’s boxes a year. It can book four small pickups, two medium ones, or one big one. The shredding charge is the same $800 every way. The fees are not.
Going from four pickups a year to one saves $704.55 on the same paper. Going from four to two saves $469.70. The quarterly drop-off line is the cheapest on paper, but it means someone from your office drives about 38 miles each way four times a year, and their time is not free.
The catch with a once-a-year pickup is storage. Paper waiting to be shredded is still sensitive paper. If you batch, keep the boxes sealed in a locked room or a locked closet that only named staff can open, and write down who has the key. A pile of open boxes in a hallway for eleven months undoes the point of shredding.
| Your Exeter office | Schedule we would suggest | Why |
|---|---|---|
| Small office, under 10 boxes a year | Drive it down once, or add it to a bigger cleanout | One box picked up costs $264.55. One box at our counter costs about $64.60 |
| Office with 20 to 40 boxes a year and a locked storage room | One pickup a year | Lowest pickup cost per box. Pick a slow month |
| Office with 20 to 40 boxes a year and no locked storage | Two pickups a year | Less paper sitting around, still only two transportation fees |
| Medical practice with steady daily paper | Two to four pickups a year | Keeps PHI out of the office. Match the schedule to your locked storage space |
| School or district office after the year ends | One summer pickup | Files are retired at the end of the school year, and staff have time to stage boxes |
| Office move or full records-room purge | One large pickup | Sixty boxes cost under $24 each, all in |
There’s no contract and no minimum schedule. You book each pickup when you want it, and you can change the rhythm whenever your volume changes. For a full records-room clear-out, our guide to office cleanout shredding walks through the planning, from labeling boxes to the day the driver comes.
What every Exeter pickup includes
The fee covers more than the drive. These are the numbers and the standards that come with every pickup, whatever size.
- Sealed boxes loaded by our driver and kept in locked handling to Tewksbury
- Cross-cut shredding at our Tewksbury office after the boxes arrive
- A Certificate of Destruction for every job, covered by the HIPAA filing fee
- A Business Associate Agreement on request for covered entities and business associates
- All of the shredded paper baled and recycled
- No long-term contract and no required schedule
From your Exeter office to the shredder
Here’s what a pickup looks like from your side. Nothing about it is complicated, but a little prep makes the day short for your staff and keeps the paper trail clean. Our shredding pickup checklist has the full list.
- Book a date. Use the booking form or call (978) 636-0301. Tell us the Exeter address, roughly how many boxes, whether there are stairs, and anything that is not paper. Pickups need an appointment, and we never promise same-day service.
- We confirm the zone and the quote. Exeter is Zone 3 at $199.95. We confirm that for your address and quote any handling fee for stairs or restricted access before the day.
- Stage the boxes. Close and tape them, and put them near the door or the loading area. Staples, paper clips, binder clips, rubber bands and file folders can stay in. Pull out three-ring binder hardware, hanging-folder frames and anything that isn’t paper.
- Hand them over. Have the person responsible for records meet the driver and keep the booking confirmation. The boxes go straight into our vehicle in locked handling.
- We shred them in Tewksbury. The boxes come back to our office at 1215 Main Street and are cross-cut shredded after they arrive. The shred is baled for recycling.
- File the certificate. Your Certificate of Destruction comes with every job. Keep it with your retention records next to the booking confirmation.
If you want to see the drive for yourself, it is about 38 miles from the Town Offices at 10 Front Street. The usual way runs south on Route 108 and Route 150 through Kensington to I-495 in Amesbury, then I-495 south to Tewksbury. Plan on about an hour each way. That hour, twice, is what the $199.95 is buying back for your staff.
Medical and dental practices in Exeter
Exeter Hospital, at 5 Alumni Drive, is the town’s community hospital, and physician, dental and therapy offices are spread through the rest of town. Each of them makes paper with protected health information on it every day. Think intake forms, superbills, referral letters, lab printouts, appointment lists and explanation of benefits statements.
HIPAA does not tell you to use a particular shredder. It tells covered entities to have safeguards that protect PHI, including when it is thrown out, under 45 CFR 164.530(c), and the Security Rule asks for disposal policies for media holding electronic PHI under 45 CFR 164.310(d)(2)(i). HHS guidance names shredding as one acceptable way to make paper PHI unreadable. Our page on HIPAA shredding requirements walks through each piece.
For a practice, a vendor that picks up PHI is usually a business associate, so you want a Business Associate Agreement in place before the first pickup. We sign one on request under 45 CFR 164.502(e) and 164.504(e). Ask for it when you book and keep the signed copy with your HIPAA policies.
Daily paper
Schedules, sign-in sheets and printouts that get shredded the same week. Keep them in a locked bin you own between pickups. Two to four pickups a year usually covers it.
Retired charts
Old records past your retention period. Confirm the period with your counsel and licensing board first. Then purge in one large pickup, which keeps the per-box cost low.
Old devices
Hard drives from retired workstations, phones and backup tapes are physically destroyed and quoted per item. Bag them separately from the paper and tell us when you book.
A simple log helps if anyone ever asks. Note the pickup date, the number of boxes, who handed them over, and the certificate that came back. Clip the certificate to that page. When an auditor or a patient asks how old records were destroyed, you can answer in one sentence and show the paper.
Dental offices have the same duties with their own mix of paper, from treatment plans to insurance forms. Our dental office shredding guide covers that side, and the medical shredding service page covers BAAs, certificates and what to ask any vendor. When a practice manager needs to see the files destroyed, for example after a dispute, a witnessed session at our office is the better fit than a pickup.
Schools and education offices in Exeter
School offices produce some of the most sensitive paper in town and have some of the least spare time to deal with it. SAU 16 runs Exeter High School, Cooperative Middle School and the Seacoast School of Technology, which serves students from several surrounding towns. Exeter is also home to private schools with their own admissions, financial aid and student files.
For public schools, FERPA (34 CFR Part 99) protects education records and the personally identifiable information in them. It applies to schools and agencies that receive funds from Department of Education programs. FERPA is a privacy law about who may see records, not a shredding rule, but a box of old student files left in a recycling dumpster is exactly the kind of disclosure it is meant to prevent. Our guide to school records shredding NH covers school files in more depth.
| School paper | What is on it | How schools usually handle it with us |
|---|---|---|
| Retired student files | Grades, discipline, health and family information | Purged after the district’s retention schedule, often in one summer pickup |
| Special education paperwork | Evaluations, plans, medical notes | Kept locked until the retention period ends, then picked up sealed |
| Staff and payroll files | Social Security numbers, tax forms, bank details | Shredded with the business office’s annual purge |
| Admissions and financial aid files | Family income, tax returns | Common at private schools. Shredded after each cycle closes |
| Old computers and drives | Student information systems, email, scanned files | Bagged separately and quoted per item |
Summer is the natural time. Offices are quiet, the school year’s files can be retired together, and staff can stage boxes in a hallway without students around. One large summer pickup also gives you the lowest cost per box on the table above. Your district or school sets its own retention periods, so confirm them before anything leaves the building.
Label each box on the outside with the school or office it came from and a rough description, such as student files or business office, never with student names. That label is enough for your own log, and it keeps anyone who sees the hallway stack from learning what is inside. Count the boxes before the driver arrives and write the number on the booking confirmation.
If a school prefers to keep a staff member present for destruction, the business manager can bring the boxes to Tewksbury for a witnessed session instead. That costs $1.99 a pound with a $100 job minimum, plus the $34.90 per-job fees, and the certificate is signed in front of them.
Law, tax and real estate offices: Exeter NH business shredding by record type
Downtown Exeter’s Front Street and Water Street blocks, and the commercial stretch of Epping Road, hold the town’s professional offices. Their shredding needs follow the rules that apply to their records, so here they are by type.
Law offices
Closed matter files, drafts and copies of client IDs. Confirm retention with your bar obligations, then purge. Many firms like a witnessed session for the most sensitive files. See off-site shredding for NH law firms.
Tax preparers and CPAs
The FTC’s Safeguards Rule (16 CFR Part 314) covers tax preparers as financial institutions. Old returns and workpapers belong in a sealed box after retention, not in the bin.
Landlords and property managers
If you pull tenant credit reports, the FTC Disposal Rule (16 CFR Part 682) says to burn, pulverize or shred them so they can’t be read or reconstructed.
Insurance and finance
Applications, policy files and account statements. Book a pickup after renewal season and keep the certificate with your compliance records.
Federal tax records drive a lot of office retention. The IRS says to keep most records for 3 years, 6 years if income worth more than 25 percent of what you reported was left out, 7 years for a worthless securities or bad debt claim, and employment tax records for at least 4 years. Once a year’s files clear those periods, they can go in the next pickup.
| Record | IRS guidance | Then |
|---|---|---|
| Most income tax records | 3 years | Shred in the next pickup |
| Income left out over 25 percent of gross | 6 years | Shred |
| Worthless securities or bad debt deduction | 7 years | Shred |
| Employment tax records | 4 years after the tax is due or paid | Shred |
When is pickup the wrong choice for an Exeter business? When you have two or three boxes. The Zone 3 fee would more than double the bill, and a staff member heading south anyway can drop them at our counter weekdays from 10 a.m. to 5 p.m. with no appointment. Our drop-off vs off-site comparison runs the numbers both ways. Neighboring Seacoast offices can compare notes on our Hampton NH business shredding page, and every town we cover is on the service areas page.
New Hampshire’s breach notice law, RSA 359-C:20, applies to computerized data with personal information. An old office hard drive deserves the same care as a filing cabinet. We destroy drives physically and quote them per item on our hard drive destruction page.
Frequently asked questions
Which pickup zone is Exeter NH in?
Exeter is on the Seacoast, which is our Zone 3. The transportation fee is $199.95 per pickup. You also pay the normal shredding rates, 99 cents a pound under 10 boxes or $20 per banker’s box at 10 or more, plus $34.90 in per-job fees. We confirm the zone for your exact address when you book.
How much does it cost to pick up 20 boxes from an Exeter office?
Twenty banker’s boxes at $20 each come to $400. Add $34.90 in per-job fees and the $199.95 Zone 3 transportation fee, and the total is about $634.85, or roughly $31.74 a box. That assumes ground-level or elevator access. Stairs or restricted access carry a handling fee that we quote up front.
Do you shred on site at our Exeter building?
No. We don’t bring a shredder to your building, and we have no office or drop box in New Hampshire. Our driver loads your sealed boxes, keeps them in locked handling, and brings them to our office at 1215 Main Street, Unit 115, in Tewksbury, Massachusetts, where they are cross-cut shredded after they arrive. You get a Certificate of Destruction for the job.
Will you sign a Business Associate Agreement for our Exeter practice?
Yes. We sign a Business Associate Agreement on request for HIPAA covered entities and business associates. Ask for it when you book your first pickup and keep the signed copy with your HIPAA policies. Every job also comes with a Certificate of Destruction covered by the $14.95 HIPAA filing fee.
Can an Exeter school book a pickup over the summer?
Yes, and summer is when most schools do it. Book a date, stage the sealed boxes near an accessible door, and have the person responsible for records meet the driver. Confirm your district’s retention schedule before anything leaves. Old computers and drives go in a separate bag and are quoted per item.
Is it cheaper to book one big pickup or several small ones?
One big pickup, if you can store the paper safely. Each pickup carries its own $199.95 Zone 3 fee and $34.90 in per-job fees. Forty boxes in one pickup cost about $1,034.85, while four pickups of ten cost about $1,739.40. Keep waiting boxes sealed in a locked room until the pickup date.
Can you pick up the same day we call?
No. Pickups always need an appointment and we never promise same-day service. Call (978) 636-0301 or use the booking form a little ahead of when you need the boxes gone, and pick a day that suits your office. If you need paper gone today, a staff member can bring it to our Tewksbury counter on a weekday.
Do we need to remove staples and folders before pickup?
You don’t need to. Staples, paper clips, binder clips, rubber bands and file folders can stay in. Please remove three-ring binder hardware, hanging-folder frames and anything that is not paper. Bag hard drives, phones and tapes separately and tell us about them when you book so we can quote them per item.
